The Opportunity
The Department of Parliamentary Services (DPS) is recruiting for a Parliamentary Services Level 5 InformationGovernance Officer, Information Management Section within the Digital Recording Services Branch.
This position provides an opportunity for the right person to have a significant impact on the further growth ofinformation management maturity in DPS through the review and enhancement of the guidance providedthrough strong information governance.
The Information Governance Officer will contribute to the development, implementation, and maintenance ofthe department’s information governance program. The information governance program ensures that thedepartment’s information assets are managed securely, are compliant with relevant legislation, and align withdepartmental, and whole-of-government policies, goals and objectives.
You will assist in the review and submission of DPS records authorities, the creation of disposal schedules forClass C records in conjunction with the Parliamentary Library, assessment of DPS business systems using theNational Archives’ Business Systems Assessment Framework and complete tasks such as the initial draft of theannual Check-up survey to assist DPS in achieving the requirements of the Building Trust in the PublicRecord Policy.
Duties and Responsibilities
The Information Governance Officer is required to collaborate on the undertaking of complex work, andoperate with limited direction, with the opportunity for reasonable autonomy and accountability. The roleincludes using initiative and judgment in the interpretation of policy and in applying practices and procedures.The Information Governance Officer provides professional and policy advice in relation to complex problemsand may assist in strategic planning, program and project management, and policy development. TheInformation Governance Officer will be required to liaise with a range of stakeholders in a representational role.

The Information Governance Officer requires well developed communication skills, sound understanding andapplication of information management and governance practices, stakeholder engagement, and an ability torespond in a constantly changing environment, with a strong emphasis on the importance of accuracy andcompleteness.
Our ideal candidate will have:
- Demonstrated experience in information management/information governance.
- Experience in the use of an EDRMS such as Content Manager and in the use of Microsoft 365.
- Demonstrated knowledge and/or experience in the practical application of the Building Trust in the PublicRecord policy.
- Well developed analytical, troubleshooting, and problem-solving skills.
- Effective communication skills (written and verbal).
- Developed stakeholder engagement/management skills.
- Ability to work in a dynamic and often rapidly changing environment.
- Strong focus on collaboration and teamwork.
Job Specific Requirements:
The successful applicant will be required to obtain and maintain a Negative Vetting 1 (Confidential/HighlyProtected/Secret) security clearance.

Under limited/general direction undertake duties in accordance with the agreed standards for theParliamentary Service Level 5 classification. The duties will include, but are not limited to, the following:
1. Contribute to the development, maintenance and regular review of information governance strategies,frameworks and policies relevant to DPS information Management to promote best practice and meetlegislative and regulatory requirements.
2. Contribute to the review and ongoing currency of DPS records authorities.
3. Assist in managing the implementation of components of the National Archives of Australia’s (NAA)Building Trust in the Public Record policy requirements.
4. Contribute to internal projects, such as the in-place records management project, supporting the capture,maintenance and preservation of information created within Microsoft 365 tools.
5. Contribute to the assessment of all DPS business systems using the National Archives of Australia’sBusiness Systems Assessment Framework.
6. Develop and maintain strong working relationships with clients, internal/external stakeholders, and serviceproviders to ensure positive customer outcomes.

Conditions of Employment
Employment opportunities at Department of Parliamentary Services are subject to a range of conditionsprescribed in the
Parliamentary Service Act 1999
which include:
- Australian citizenship – to be eligible for employment with DPS, applicants must be an Australian Citizen.
- Security clearance and character clearance – the preferred applicant will be required to obtain andmaintain a security clearance at the level specified, as well as complete and be deemed suitable through aNationally Coordinated Criminal History Check.
- Health assessment – a pre-employment health assessment will be required where there are physical or medical requirements for the role.
