$78,621 - $84. 734 salary per annum (Plus super and RDO)

A little bit about the role

The Information Management Archives Officer coordinates and manages Council’s archives, supporting the effective lifecycle management of physical and electronic records. This role is critical to ensuring that Council records are managed, stored and disposed of in accordance with statutory, organisational and operational requirements.

The role contributes to high-quality records and information management services through the classification, capture and distribution of incoming information; secure mail room and file delivery services; and support for Information Management projects, audits and continuous improvement initiatives. The role is expected to maintain confidentiality and provide responsive support to internal stakeholders.

Key responsibilities include:

  • Coordinate and manage Council’s archival services, including the appraisal, classification, storage, retrieval and disposal of physical and electronic records.
  • Ensure records are managed in accordance with legislative, statutory, organisational and operational requirements, including PROV standards.
  • Maintain accurate and secure records management tools, registers and catalogues to support compliance and searchability.
  • Respond to requests for archived records, including retrieval, distribution and return.
  • The provision of timely information management advice, assistance and support to internal stakeholders.
  • Identify and escalate complex, high-risk or non-routine records management matters.
  • Liaise with external service providers, including archive storage providers.
  • Support mail, courier and information processing services, including the capture, registration and distribution of incoming and outgoing information.
  • Support information management projects, audits, digitisation, quality assurance and continuous improvement initiatives.
  • Maintain confidentiality and contribute to accurate, efficient and customer-focused information management services.


A little bit about you

You will have a relevant qualification in records management or a related discipline, or significant demonstrated experience in records, archives or information management. You will understand the legislative and regulatory requirements for public records management, ideally within a local government environment.

You will have relevant experience in the use of electronic document and records management systems, with a strong understanding of classification structures and information organisation. You will bring strong attention to detail, sound judgement, problem-solving ability and the capacity to manage priorities, plan your own work to meet deadlines with minimal supervision. A current Victorian Driver Licence is required.
