Records and Administrative Officer

The Records and Administrative Officer is responsible for the accurate maintenance, cataloguing, and preservation of burial, interment, and administrative records for Payneham and Dudley Park Cemeteries. This role combines meticulous records management with day-to-day administrative support, ensuring historical and current cemetery records are complete, accessible, and compliant with relevant legislation and record-keeping standards.

Key Responsibilities
- Maintain accurate, up-to-date records of burials, interments, exhumations, memorial rights, and grave allocations
- Catalogue historical and current cemetery records, ensuring correct classification, indexing, and cross-referencing
- Undertake systematic archiving of physical records, plans, registers, and correspondence in accordance with retention schedules
- Conduct regular audits of records to identify and correct discrepancies, gaps, or inconsistencies
- Support the digitisation and digital administration of historical paper-based records, including scanning, data entry, and quality-checking digitised files
- Process burial and interment applications, memorial applications, and related documentation
- Respond to enquiries from funeral directors, families, and the public regarding grave locations, ownership, and historical records
- Prepare correspondence, reports, and documentation as required
- Support compliance with relevant legislation, including cemetery and burial regulations, privacy, and information management requirements
- Maintain and update cemetery management databases/software with a high degree of accuracy
- Assist with the transition and ongoing management of digital records systems
- Generate reports and statistics from records systems as required by management
- Ensure confidentiality and appropriate handling of sensitive personal and family information
About You

Essential
- Demonstrated high level of attention to detail and accuracy in record-keeping
- Experience in records management, cataloguing, archiving, or administrative roles
- Strong data entry skills and confidence working with databases and digital record systems
- Excellent written and verbal communication skills
- Ability to work independently, prioritise tasks, and manage competing deadlines
- Sound understanding of confidentiality and privacy principles
- Proficiency in Microsoft Office (Word, Excel, Outlook) and records/database software
Desirable
- Experience in a cemetery, local government, or heritage/archival environment
- Knowledge of relevant cemetery and burial legislation
- Experience with digital archiving or records digitisation projects
- Qualifications in records management, archives, business administration, or related field
